MICI OPENS A NEW CONSULTATION PHASE CASE ASSISTANT POSITION

MICI is seeking to hire a Case Assistant Consultant to support the work of the Consultation Phase by performing work that requires a combination of office support and operational tasks. Candidates must apply by March 27.
 

What you’ll do:  

  • Assignments include a variety of administrative tasks requiring understanding of the work and functions of the Mechanism, as well as thorough knowledge of applicable Policies and internal procedures.  Some of the work executed by the incumbent may also require knowledge of specific administrative processes and procedures of other areas of the Bank such as those related to travel, procurement, budget, records management, etc.  Some assignments involve the interpretation and consolidation of data and information, as well as consideration of alternative procedures and work methods.
     
  • Provide support to the Consultation Phase team, managing the agenda, phone calls, and following up on time sensitive matters.
     
  • Assist in the reception of new Requests, by classifying, registering and filing, during the Registration and Eligibility proccess.
     
  • Provide administrative and logistical support in the planning, coordination and execution of meetings and events, and coordinate agenda of complex events. This includes assisting team members in the reservation of conference rooms, in scheduling videoconferences and conference calls among other related activities.
     
  • Assemble and consolidate documentation for cases, meetings, missions, presentations, and reports in a timely and efficient manner.
     
  • Prepare and/or edit basic PowerPoint and summary Excel tables.
     
  • Print, scan and file documents for team members when required, and assist team members with the formatting of documents in Word, Excel and PowerPoint presentations.
     
  • Review documents to be submitted to the MICI Director approval to ensure accuracy and completeness, and conformance with relevant guidelines. As requested, review and edit documents produced by Consultation Phase staff. 
     
  • Follow up on deadlines established for the completion of tasks as relates short term Consultants working on matters related to the Consultation Phase.
     
  • Coordinate travel arrangements and process travel authorizations and statements of expense for the Phase. Maintain record of Phase’s business travel, attendance to conferences and trainings.
     
  • Follow up with staff assigned to the Consultation Phase regarding Time and Labor reporting, vacation plans and other administrative matters as required.
     
  • Assist with the creation of tickets to resolve technical issues related to the systems in place.
     
  • Assist in case management tasks as relevant to his/her administrative role; particularly ensuring that case documentation is filed as per MICI internal procedures and regularly updating the case management system.
  • Coordinate between other MICI areas in resolving day-to-day administrative and operational issues.
     
  • Participate in working groups related to the functioning of the Office including implementation of new software, changes in systems, records management, etc.
     
  • On occasions, the MICI Director may request support to other areas of the MICI as needed.
     

What you’ll need:

  • Education: Technical studies or Associate Degree. Studies in Economics, Business Administration or related fields are highly preferred. 
     
  • Experience: A minimum of two years of relevant experience
     
  • Languages: Proficiency in Spanish and English. Portuguese desirable
     

Core and Technical Competencies:

  • Proficiency in Microsoft Office: word processing software, spreadsheet, PowerPoint and database programs. Knowledge of SharePoint, SAP and Salesforce is desirable.
     
  • Skills: The candidate should be able to:
    • Able to handle a wide range of tasks and work under limited supervision.
    • Experience with gathering, analyzing, synthesizing and reporting complex information and producing meaningful summaries of information in reports and otherwise.
    • Ability to work with confidential information.
    • Exceedingly well organized and willing to tackle administrative challenges of working in a small office of diverse people and programs.
    • Interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient.
    • Communicate effectively and respond to requests promptly and resourcefully to deliver high quality service.
    • Ability to carry himself/herself with professionalism when interacting with involved parties and colleagues, respond to requests promptly and resourcefully to deliver high quality service.
    • Knowledge of international financial institutions and accountability mechanisms. 
    • Technology savvy and fast learner so as to make efficient use of office software. Ability to anticipate and meet the needs of internal and external clients and colleagues.
